Project Description:

This project involves a full upgrade of aging hardware in the Sign Shop, which serves as the central production hub for all road signage, internal banners, and paper-based signage for the organization. The upgrade includes the purchase and installation of new commercial-grade plotters, wide-format printers, precision cutters, and a modern rollover table. This new suite of equipment will replace outdated and inefficient machines that are no longer meeting production demands. The goal is to improve output speed, enhance signage quality, and reduce manual labor for the Sign Shop team.

Justification & Alternatives:

The current hardware in the Sign Shop has exceeded its useful life expectancy, resulting in slower production times, lower-quality outputs, and increased maintenance issues. With the demand for both road and internal signage steadily increasing due to expanded operations, a modernized equipment suite is critical. Upgrading to newer, faster, and more precise equipment will enable the team to meet turnaround expectations while improving the durability and clarity of the signs produced. The inclusion of a new rollover table will significantly streamline the process of applying signage to metal and cardboard backings, which is currently labor-intensive and time-consuming. These improvements will directly impact operational efficiency, reduce downtime, and support our branding and public safety efforts across the precinct.

One alternative is to continue operating with the current hardware until individual components fail beyond repair. However, this reactive approach would lead to unpredictable delays in production, reduced quality, and increased maintenance costs. Another option would be to selectively replace only the most critical pieces of equipment, but this would not resolve systemic bottlenecks or eliminate inefficiencies in the overall workflow. Outsourcing signage production was also considered but ultimately dismissed due to higher long-term costs, reduced control over quality and turnaround, and security concerns related to sensitive or time-bound signage (e.g., road safety updates or emergency notices). The full hardware refresh provides the most sustainable and cost-effective path forward.
