Background and Discussion:

The fi-7460 ensures safe, dependable scanning using robust paper-feeding systems, with brake rollers serving as the key mechanism for separating documents.

The warrant clerk is responsible for scanning more than 500 active Class C warrants into OpenText, but current low-speed, non-high-volume equipment cannot keep up with operational demand. This creates a processing bottleneck, slows warrant availability for deputies, and increases the risk of errors such as misfiles or unreadable scans. Because warrants are time-sensitive legal documents, delays in scanning and indexing hinder field confirmation, slow execution, and introduce potential liability. To address these issues, the recommended solution is to acquire a high-speed scanner with OCR and batch-processing capabilities that integrates with OpenText workflows.

Expected Impact:

A high-volume scanner would enable the warrant clerk to rapidly process large batches of warrants, convert them to searchable text, and upload them directly into OpenText with minimal manual handling. This upgrade would significantly reduce processing time, improve accuracy, and decrease physical strain on staff.

For the department, the equipment would accelerate warrant availability for patrol and investigations, reduce administrative backlog, and enhance record consistency without requiring additional personnel. The investment is cost-effective, as the one-time purchase is offset by reduced processing time, fewer administrative errors, improved operational readiness, and avoidance of future overtime or staffing costs.

Given the current workload of more than 500 active Class C warrants and continuous intake from JP courts, acquiring high-speed scanning equipment is a necessary operational improvement. It strengthens warrant accuracy, supports officer efficiency, and mitigates departmental risk while ensuring the clerk can meet both current and future demands.
